For the purposes of this Privacy Policy, "we", "us" and "our" refer to Apex Dap Group Ltd. "You" and "your" refer to any individual who interacts with our websites, services, or submits an enquiry.
2. Information we collect
We collect only the information necessary to deliver our services safely and effectively:
- Identity & contact details — your name, phone number, email address, and WhatsApp contact (where provided) so we can respond to care enquiries.
- Enquiry & care details — the nature of care or support you are requesting, location (city or neighbourhood), preferred start dates, and any special requirements you choose to share.
- Service usage data — pages visited, time spent on site, and referral source. This helps us improve our services and understand how families find us.
- Communication records — emails, WhatsApp messages, and phone call notes relating to your enquiry or ongoing service arrangement.
We do not collect sensitive personal data such as medical records, religious beliefs, or financial account numbers unless you voluntarily provide them in the context of a care assessment.
3. How we use your information
We use your data for the following lawful purposes:
- To respond to enquiries and coordinate care assessments
- To match families with suitable caregivers or service providers
- To send service updates, scheduling confirmations, and safety notices
- To maintain accurate business records required by Ghanaian law
- To improve our website, services, and family support resources
- To comply with legal obligations, regulatory requests, or court orders
We do not sell, rent, or trade personal data to third parties for marketing purposes.
4. Legal basis for processing
Under applicable data protection principles, we process your personal data on the following bases:
- Consent — where you have expressly agreed (e.g. by submitting a contact form or requesting a callback)
- Contract — where processing is necessary to enter into or perform a care service agreement
- Legal obligation — where required by Ghanaian tax, employment, or corporate law
- Legitimate interests — where necessary to protect the safety of clients, caregivers, or the integrity of our services
5. How we store and protect your data
All personal data is held on encrypted, access-controlled systems hosted within secure cloud infrastructure. Our website is served exclusively over HTTPS (TLS/SSL). Access is limited to authorised staff who have a legitimate need to handle your information.
Specific safeguards include:
- Encrypted data transmission (TLS 1.2 or higher)
- Role-based access controls for internal systems
- Regular security reviews and staff training
- Secure deletion protocols when data is no longer required
6. Data retention
We retain personal data only for as long as necessary to fulfil the purposes outlined in this policy:
- Enquiry records — retained for 24 months after last contact, then securely deleted unless a legal obligation requires longer retention
- Active client files — retained for the duration of service plus 6 years in accordance with Ghanaian corporate and tax record-keeping requirements
- Website analytics — anonymised after 26 months
7. Sharing and disclosure
We do not share personal data with third parties except in the following limited circumstances:
- Service delivery — sharing necessary details with vetted caregivers, nurses, or partner agencies directly involved in your care arrangement
- Legal compliance — where required by law, court order, or regulatory authority
- Professional advisers — our lawyers, auditors, or insurers, bound by confidentiality obligations
- Business transfers — in the event of a merger, acquisition, or sale of assets, subject to equivalent data protection commitments
8. Cookies and similar technologies

Our services are not directed at individuals under 18 years of age without parental or guardian involvement. We do not knowingly collect personal data from children. If you believe we have inadvertently collected data from a minor, please contact us immediately so we can delete it.
11. International data transfers
While our primary operations are in Ghana, some of our service providers (e.g. cloud hosting, communication platforms) may process data outside Ghana. Where this occurs, we ensure appropriate safeguards are in place to protect your data in accordance with this policy.
